Real-time sales coaching software in 2026: a buyer's guide

The short answer

Real-time sales coaching software prompts a rep during a live call rather than reviewing the recording afterwards. It splits into three categories: contact centre agent assist, conversation intelligence platforms, and individual live call copilots. The first two are priced per seat with team minimums. Only the third is bought by one person for their own calls.

What counts as real-time, and what does not

The phrase gets applied to two genuinely different things, and the distinction decides whether the software helps you on Tuesday's call or in Friday's pipeline review.

Vendors in the first camp market heavily on the word "real-time" because the transcription is real-time, even when the coaching is not. The question that cuts through it: does anything appear on my screen while the prospect is still speaking?

The three categories, and who each one is actually for

Once you filter for genuine in-call guidance, the remaining tools fall into three groups with very different shapes.

Contact centre agent assist

Built for high-volume support and inside sales floors. Strong on script adherence, compliance prompts and disclosure tracking, because in regulated industries a missed disclosure is a legal exposure, not a coaching note. These platforms assume a supervisor layer, a QA function and a shared playbook.

Reviewers commonly report pricing around $100 per agent per month for tools in this class, and buyers of the larger platforms report $100 to $200 per agent per month plus platform fees, with public marketplace listings anchoring annual contracts near six figures. They are generally sold with an agent minimum in the dozens.

Conversation intelligence platforms

The category most people mean when they say "call recording software". Deal intelligence, pipeline risk, talk-ratio analytics, CRM write-back. Enormously valuable to a sales organisation. The real-time layer is usually a recent addition to a product whose centre of gravity is the post-call review, and it shows.

Individual live call copilots

Desktop tools bought by one person for their own calls. No admin console, no seat minimum, no CRM project. They are judged on one thing: whether the right sentence appears fast enough to use. This is the newest of the three groups and the only one an individual rep, a freelancer or a founder can actually buy.

What it costs, and why the shape matters more than the number

Published pricing is rare above the individual tier, so most figures circulating are buyer and reviewer reports rather than list prices. Treat them as a range, not a quote.

CategoryTypical shapeReported range
Contact centre agent assistPer agent, annual, seat minimum~$100+ per agent per month
Enterprise conversation intelligencePer seat plus platform fee$100 to $200 per agent per month, six-figure annual contracts reported
Individual live call copilotMonthly, one person, no minimum$20 to $50 per month

The important line is not the price, it is the seat minimum. A platform that is excellent value at 80 agents is not available to you at one. Several of the best-reviewed tools in this space cannot be bought by an individual at any price, which is why "best real-time sales coaching software" lists are so often useless to the person reading them.

Seven questions that actually separate these tools

Demos are built to look good. These are the questions that predict whether you will still be using it in month three.

1. How long until something appears on screen?

A prospect's objection gives you roughly three seconds of acceptable silence. Time the tool on a real call. If the suggestion arrives after you have already answered, it is a transcript, not a coach.

2. Where do the answers come from?

Generic AI trained on the open web does not know your pricing tiers, your implementation timeline, or why you lose to the incumbent. A tool that reads a brief you wrote will. This is the single biggest quality difference in the category.

3. Automatic, or do you press something?

Manual-trigger tools ask you to remember a keyboard shortcut at the exact moment your attention is most expensive. Most people stop pressing it within two weeks.

4. Does it join the call?

Tools that dial in as a participant announce themselves to the prospect and, in some jurisdictions, trigger consent requirements. Tools that listen to your own audio output do not appear on the call at all.

5. What happens to the audio?

Ask whether recordings and transcripts are stored and for how long. If you sell into regulated industries, this becomes a procurement question, and you want the answer before a prospect asks rather than after.

6. Can you rehearse against it?

A live pipeline call is an expensive place to find out how the suggestions read. A practice or role-play mode lets you learn the tool on a call that costs nothing.

7. Does it work with the way you actually call?

Tools that integrate per platform need an integration for Zoom, another for Teams, another for your dialler. Tools that listen to system audio work with all of them, including a phone on speaker.

If you are one person, the shortlist is short

Most of this category is not built for you, and that is not a criticism of it. Agent assist exists because a floor of 200 reps reading from a compliance script is a genuine problem that genuine software solves. It is just not your problem.

Your problem is narrower. You know your product. You have handled the pricing objection a hundred times. But the prospect asked something slightly off-script, there is a pause, and the pause is doing damage. What you need is retrieval, fast, from material you already own.

That is the job Unblank does for sales calls: your pricing, your objection answers and your differentiators, loaded once, surfaced automatically the moment the prospect stops talking. Windows today, macOS coming soon, and it works with any call app because it listens to your computer's audio rather than hooking into one platform.

For the framework behind the suggestions themselves, how to handle objections on a cold call covers the acknowledge, answer, advance pattern. If you are comparing specific products, the real-time AI call copilots compared page separates the categories properly.

Three signs a "real-time" claim is marketing

Because the label sells, it gets attached to products that do not earn it. These three tells show up on the pricing page, before you ever book a demo.

  1. The screenshots are all dashboards. If every image on the page is a chart, a leaderboard or a call scorecard, the product is built for the manager reviewing the call, not the rep on it. Real-time products screenshot the in-call panel, because that is the product.
  2. "Real-time transcription" is doing the work in the sentence. Transcription arriving live is table stakes and says nothing about whether guidance does. Read the claim carefully: it often promises a live transcript and post-call insights, which is two different things wearing one adjective.
  3. There is no latency number anywhere. Vendors who have solved latency talk about it, because it is hard and it is their moat. Vendors who have not describe the feature and never the speed.

None of this makes those products bad. Post-call coaching genuinely changes how teams improve over a quarter. It just will not help you at 2:15 on Thursday when the prospect asks something you did not prepare for.

The mistake almost everyone makes

Buying on feature count. Every product in this space can list twenty capabilities, and nineteen of them are irrelevant to whether you close the next deal.

Pick the two things that fail on your calls. For most individual reps it is the unexpected objection and the pricing question that needs a number you cannot compute out loud. Then evaluate every tool on those two moments only, timed, on a real call. The shortlist gets very short very quickly.

Frequently asked questions

What is real-time sales coaching software?

Real-time sales coaching software prompts a sales rep during a live call rather than reviewing the recording afterwards. It can surface objection handling, competitor battle cards, discovery questions or talk-ratio alerts while the prospect is still on the line.

How is it different from conversation intelligence?

Conversation intelligence records, transcribes and analyses calls after they finish, feeding coaching reviews and pipeline forecasting. Real-time coaching acts during the call. Several platforms now do both, but their strength is usually whichever one they were built for first.

How much does real-time sales coaching software cost?

Buyers and reviewers commonly report around $100 per agent per month for contact centre agent assist, and $100 to $200 per agent per month plus platform fees for enterprise conversation intelligence, with six-figure annual contracts reported. Individual live call copilots sit roughly in the $20 to $50 per month range with no seat minimum.

Is there real-time sales coaching software for a single rep?

Yes, but not in the enterprise categories. Contact centre and conversation intelligence platforms are sold per seat with team minimums. Individual live call copilots are the only group sold to one person, and they are desktop tools with no admin console or CRM project attached.

Does the prospect know I am using it?

It depends on the architecture. Tools that dial into the meeting as a participant are visible to everyone and may carry consent obligations. Tools that listen to your own computer audio do not appear on the call at all and show suggestions on your screen only.

Does real-time coaching work on phone calls, not just video?

If the tool listens to your computer's audio output rather than integrating with a specific meeting platform, then yes, including a phone bridge or a mobile call on speaker. Tools built as per-platform integrations generally do not.
